1. Acceptance of Terms
By accessing or using ReceiptRx, you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use our service.
2. Description of Service
ReceiptRx provides AI-powered receipt categorization and bookkeeping workflow tools for professional bookkeeping and accounting firms.
Our platform uses machine learning to read receipt and invoice images, extract structured data (vendor, date, amount, tax, line items), and automatically assign categories based on your firm’s chart of accounts and historical decisions. Categorizations below a configurable confidence threshold are flagged for human review before they are approved or synced to your connected ledger.
We reserve the right to modify or discontinue the service at any time. Material changes that affect your workflow will be communicated at least 30 days in advance.
3. Account Registration and Access
You must provide accurate and complete information when creating an account. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.
Firm administrators may invite staff members to join the firm workspace. Each user is granted role-based permissions (e.g., upload-only, reviewer, administrator) set by the firm administrator. You are responsible for promptly revoking access for departing staff.
Account security. We enforce strong authentication and session management. You agree to notify us immediately of any unauthorized use of your account or any other breach of security.
4. Acceptable Use
You agree not to use ReceiptRx for any unlawful purpose, to upload malicious content, to attempt to gain unauthorized access to our systems, or to interfere with the service's operation.
Specifically prohibited conduct includes:
- Uploading fraudulent, forged, or otherwise falsified receipts or documents.
- Reverse engineering, scraping, or systematically extracting data from the platform.
- Sharing account credentials across individuals or firms.
- Using the service to process data you are not authorized to handle.
We may suspend or terminate accounts that violate these rules without prior notice.
5. Intellectual Property
ReceiptRx and its content, features, and functionality are owned by ReceiptRx Systems and are protected by copyright, trademark, and other intellectual property laws. You retain ownership of the data you upload. By using the service, you grant us a limited license to process your data solely for the purpose of delivering the service (including training your firm-specific AI model).
6. Subscription and Billing
Certain features require a paid subscription. Fees are billed in advance on a recurring basis (monthly or annually, depending on your selected plan). All fees are exclusive of applicable taxes unless stated otherwise.
Upgrades and downgrades. Upgrades take effect immediately; downgrades take effect at the start of the next billing period. Prorated credits may be issued for mid-cycle plan changes.
Cancellation. You may cancel your subscription at any time from your billing settings. Cancellation will take effect at the end of the current billing period. No refunds are provided for partial billing periods unless required by law.
Free trials. If you start with a free trial, you will not be charged until the trial ends. You may cancel before the trial ends to avoid being charged.
7. AI Categorization Disclaimers
ReceiptRx uses artificial intelligence to suggest categorizations for receipts and invoices. While we continuously improve our models, AI-generated categorizations are suggestions, not final accounting determinations.
- Human review is required. All categorizations below your firm’s confidence threshold are flagged for review. Even high-confidence categorizations should be periodically audited by a qualified bookkeeper or accountant.
- Accuracy is not guaranteed. AI may misread handwriting, blur, or complex document layouts. It may also assign categories inconsistently for novel or ambiguous transactions.
- Your firm is responsible for final categorization accuracy. ReceiptRx does not provide tax, legal, or accounting advice. Approved categorizations are your firm’s responsibility and should be reviewed in the context of your client’s overall financial records.
8. Disclaimer of Warranties
ReceiptRx is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not guarantee that the service will be uninterrupted, timely, secure, or error-free, or that any errors will be corrected. We do not warrant that the results obtained from the use of the service will be accurate or reliable.
9. Limitation of Liability
To the maximum extent permitted by law, ReceiptRx Systems shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, goodwill, or other intangible losses, arising out of or relating to your use of or inability to use the service.
Our total liability to you for all claims arising from or relating to these Terms or your use of the service shall not exceed the total amount paid by you to ReceiptRx Systems in the twelve (12) months preceding the event giving rise to liability.
Some jurisdictions do not allow the exclusion or limitation of liability for consequential or incidental damages, so the above limitation may not apply to you.
10. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which ReceiptRx Systems is established, without regard to its conflict of law provisions.
11. Changes to These Terms
We may update these Terms from time to time. Material changes will be communicated to firm administrators at least 30 days before taking effect. Continued use of ReceiptRx after changes take effect constitutes acceptance of the revised Terms.
